LISS DTP students should complete this form to apply for an Overseas Institutional Visit (OIV). Please contact Dr. Copeland before submitting the form if you are unsure.
Please read the +more info guidance for each field below.
The purpose of the OIV scheme is to support and encourage the international engagement of ESRC funded students. The scheme funds an extension to the studentship of up to three months, plus some travel and subsistence costs, budget dependent. Normally, we would expect to award no more than £400 for European destinations or £700 for more distant destinations.
Applications must be approved at least 3 months BEFORE the start date of the OIV.
Overseas Institutional Visits should allow students to:
- undertake additional specialist research training not available in the UK
- develop language skills
- establish research links that will be beneficial to their current or future academic career
- disseminate early research findings
- attend and participate in seminars where directly related to their research.
- Only Full-Time students are eligible for this scheme.
- An OIV may be added before the beginning or after the end of an Overseas Field Work trip, but these are two separate schemes, intended for different purposes, requiring separate applications.
- Only one OIV application can be made during the studentship period.
- OIV applications can be for up to three separate visits to the same host university or research institution during the course of the studentship, as long as the total period of the visits does not exceed 13 weeks. Note that the scheme will not necessarily be able to cover travel costs for repeated trips.
- Visits must be related to the student’s PhD project.
- Visits should not commence within the first three months of the studentship period. Visits taking place in the final year of the studentship must be completed at least three months before the end date of the award and prior to the extension period being implemented.
Reviewing OIV Applications:
OIV applications will be reviewed on the first working Monday of January, April, June and October each year. Decisions may take up to 2 weeks to announce, depending on volume of applications. Outcomes will be communicated by email@example.com. LISS DTP reserves the right to limit reviewing out-of-cycle review requests, students should plan appropriately and submit their application for funding within the quarterly review periods.
NOTE: The administration of funds is different across the 3 partner institutions. You must follow the guidance on expense claims and reimbursement from your home institution. If in doubt, contact the LISS DTP Administrator for your Institution for guidance.
Students are required to submit a report at the end of the OIV.
Specify the Department or other Academic Unit (Institute, etc) where you are registered as a student
Enter the date your PhD studies commenced, or, for 1+3 students applying for an extension to occur after you complete your masters year, the date your PhD studies will commence. Note this is not necessarily the date your PhD studentship commenced if you were awarded funding after you began your studies.
Dates need to be in the format 'DD/MM/YYYY', for example 27/03/1980.
Please make sure the date is between 01/10/2016 and 01/10/2021.
Enter the date your stipend is currently projected to end. For full time +3 students starting Oct. 1, 2017, this will be Sept. 30, 2020, but of course this will vary if your initial award was for a different duration, if you are studying part-time, if you have interrupted your studies, or if you have already received another stipend extension under a different scheme. Consult with LISS DTP admin staff to confirm the exact date if you are uncertain.
Dates need to be in the format 'DD/MM/YYYY', for example 27/03/1980.
The date should be on or after 30/09/2019.
Indicate your current target submission date. This must be within 48 months of the start date of your PhD for full time students. This date should be the same date confirmed by your supervisor in their support statement. NB: the OIV extension extends your studentship, NOT your submission date.
Name the supervisor who is supporting your application - does not need to be the official 'primary' supervisor, but they must be named as a supervisor in our files. Format: FirstName LastName, e.g. Linnaea Stockall
Please provide the host organisation's details including the name and complete contact details of the main academic contact, and of the main administrative support person or team you have been dealing with (email, work address, phone numbers). Copy and paste them here, but also include links to the critical pages (eg. the webpage of the main academic contact and the webpage of the lab/department/school hosting you). Make it clear who you have been dealing with, and in what capacity.
Include the start & end dates of the trip(s) plus the total number of weeks this equates to.
In addition to the stipend extension, we anticipate being able to offer some support to defray travel costs (airfare, visa application fees, accommodation whilst in transit, etc). This support will not normally be more than £400 for European destinations or £700 for more distant destinations. Enter the total amount of such support you would like to request here, in £s. You can round expenses up to allow for small increases and currency fluctuations between the date you submit your application and the date you incur the expenses. We will not be able to increase the amount awarded after the application is approved.
Please provide a breakdown of the proposed costs of the visit, for which you are seeking support.
Note that while we may be able to provide some support to defray travel costs (including temporary accommodation), we expect you to cover the costs of living abroad through your stipend (this may entail finding a subletter for your London accommodations whilst you are away).
Provide links to hosted files (eg. in a dropbox folder or similar) containing evidence of expected costs such as screen grabs/emails showing fare quotes, etc. Example:
Make sure the file sharing settings allow anyone with the link to view and download the link.
Please write a statement in support of your OIV application, describing:
-the purpose of the visit(s);
-your intended work plan for the visit(s);
-how it relates to your doctoral research;
-and the likely outcomes.
If you are proposing more than one visit to the same organisation please provide a clear justification of why more than one visit is required.
If the OIV is for research training purposes, please demonstrate why the training is integral to your research.
Be clear about how your proposed OIV is compatible with your target submission date.
Max 1000 words
Ask the supervisor you named above to write a statement of support for your application. Paste the text in this field.
To the Supervisor: Please comment on the appropriateness and timeliness of the visit and explain what arrangements are in place for continued supervision during the visit period. If the OIV is to be undertaken for research training purposes, please explain why the training is integral to the student's research, and why this training is best provided by the overseas host institution. Please also confirm that the OIV will not disrupt the student's planned submission date: confirm what the target date is, and explain how the OIV is consistent with achieving that target. NB: LISS DTP can increase the duration of the student's stipend for up to 13 weeks to cover the costs of the OIV, but this does not change the deadline for timely submission. [max 500 words]
You should also forward the email from your supervisor containing the text you paste here to firstname.lastname@example.org (include: OIV Application support statement in the subject field) for confirmation.
You must include a statement of support from the lead academic contact(s) at the host organisation/ institution confirming your proposed visit and work plan. Paste the text from this support statement here.
To the Host: Please confirm your willingness to host the applicant in your lab/department/school, and the terms and conditions of this visit, including: dates, what access to resources you will provide (eg. library access, printing, attending courses, supervisory contact), what you expect from the applicant in turn (giving a talk, participating in a collaboration, co-authoring a paper, joining in seminars or reading groups, etc) and whether your organisation charges any 'bench fees' for visiting students.
You should also forward the email from your host containing the text you paste here to email@example.com (include: OIV Application support statement in the subject field) for confirmation. You may need a formal invitation from your host on University letterhead in order to obtain a travel visa, but we only require an email.
Obtain a short, but clear and specific statement of support from your Department, School or Institute's Director of Graduate Studies or equivalent (the title varies widely, but this is the person in your academic unit responsible for oversight of all PGR students - they'll usually be the person who leads your PhD induction, signs off on your annual progression reports, etc). If your supervisor is also your departmental DGS, please contact LISS DTP (firstname.lastname@example.org) BEFORE submitting your application for guidance. As with the other support statements, paste the text above, and forward the email from your DGS to email@example.com. The statement should make it clear the DGS is aware of the dates you will be away, and how this will affect your plans to submit on time.
NB: LISS DTP can increase the duration of your stipend for up to 13 weeks to cover the costs of the OIV, but this does not change the deadline for timely submission.
